Why it matters
Months later someone will ask why a deal went to a lender it did not qualify for, why a condition was waived, or why pricing changed after the merchant accepted. The answer should be on the deal, written at the time, not in someone's memory.
Underwriter notes
The deal's Underwriting tab has six note blocks: Underwriter's opinion, Tax liens / judgements, UCC position, Advance history / comments, Major issues and Required paperwork & information. Each saves itself a second after you stop typing.
- 1Open the deal and click Underwriting.
- 2Type into the block that fits. The label shows Saving…, then Saved. If it shows Not saved · retry, click it.
- 3Click Version history to see each version with who changed it, when, and the text it replaced.
Edits by the same person within 10 minutes are kept as one version, so the history shows decisions rather than keystrokes.
Conditions
Below the notes, Conditions lists what underwriting needs before funding. Add condition lets you pick one or more condition types or type your own. Uploading a document of the matching type satisfies a document condition.
- Approve a condition when it is met.
- Decline… asks for a reason (Why), which is saved on the condition and the deal timeline.
- Reopen puts a decided condition back to pending.
Owners, managers and processors can decide conditions.
What the CRM records for you
| Action | Where it is recorded |
|---|---|
| Submitting to an ineligible lender (submit anyway) | Audit log with the failed rules and your reason; deal timeline |
| Moving a deal past a stage guard (override) | Audit log; stage history |
| Locking or unlocking pricing | Audit log with the reason; deal timeline |
| Stage changes and declines | Stage history and the deal's Activity tab |
| Underwriting note changes | Version history and the deal timeline |
| Marking funded, remittances, commission receipts, disputes, clawbacks | Audit log |
| Every CSV export | Audit log with who ran it |
The deal's Activity tab is where your team reads the story of a file. The audit log is the system record behind it; there is no screen to browse it in the app yet.
