Stamped documents and proof of submission
Every page you email to a lender is stamped with your shop, the lender, the date and a reference, and each submission keeps a proof of submission with a fingerprint of every file sent.
When you send a package with Send via app, each lender gets its own copy of every file, with one small line at the foot of every page:

The shop is your organization's name, the time is in your organization's time zone, and the reference is the submission's own, shown on the submission and on its proof.
What gets stamped
| File | What the lender receives |
|---|---|
| PDF (bank statements, applications) | The same PDF with the line added at the foot of every page. Nothing else on the page changes, and scans keep their quality. |
| JPEG or PNG image | A one-page PDF with the image and the line at the foot, named like the image (license.png goes as license.pdf). |
| Password-protected or damaged PDF | The original, unchanged. The submission says why it was not stamped. |
| Spreadsheets, Word files and anything else | The original, unchanged. |
A file that cannot be stamped never stops the send: it goes out as uploaded, and the submission records the reason.
Proof of submission
Open a sent submission (on the deal's Lenders tab or under Submissions) and click Download proof of submission. The PDF lists:
- your shop, the lender, the deal, who sent it, and when, in your time zone and in UTC;
- the From, To, CC and BCC addresses, the subject, and the message ID the mail provider gave the email;
- every file sent, with its size, whether it was stamped, and two SHA-256 fingerprints: one of the file the lender received and one of the file you uploaded;
- everything recorded on the submission since: status changes, declines, stip requests, offers and notes.
A SHA-256 fingerprint identifies one exact file. If a lender's copy of a statement turns up somewhere, compute its SHA-256 (for example with shasum -a 256 statement.pdf on a Mac) and compare it with the proof: a match shows it is the copy you sent that lender. Every download of a proof is recorded in the audit log.
What it does not do
Stamping marks and records. It does not stop a lender from contacting the merchant directly, and the proof does not show whether the email was opened or what the lender did with the files. It gives you a clear record to point to, for example under your ISO agreement with that lender.
Turn it off
Stamping is on for every workspace. Owners and managers can turn it off in Settings → Organization → Lender submissions. To skip it for one send, untick Stamp the documents sent via app on the Email & submit step. Packages you send yourself with Open in email or Copy are not stamped: they go from your own mailbox with the files you attach there.
