Add custom fields

Add the custom fields your team needs, in the right order, before you import.

5 min Updated Owners, Managers

A short walkthrough video is coming. The written steps below cover everything in the meantime.

Why it matters

Every shop tracks a few things no CRM has a field for: a broker ID, a campaign code, a partner name, whether the merchant was a referral from a specific accountant. Custom fields give those a proper home instead of a note nobody can filter. They show on every form and detail page for that record type and come through in CSV import and export.

Step by step

  1. 1Open Settings → Custom fields.
  2. 2Pick the tab for where the field belongs: Leads, Merchants or Deals.
  3. 3Click Add lead field (or merchant or deal field).
  4. 4Type a Label, for example "Broker ID". The app makes a key from it, shown under the label in the list.
  5. 5Pick a Type: Text, Long text, Number, Money, Date, Select or Checkbox.
  6. 6For Select, type each option and press Enter.
  7. 7Add Help text if the field needs explaining (it shows under the field).
  8. 8Tick Required on create and edit only if every record truly needs it, then click Add field.

Use the up and down arrows at the left of each field to set the order it appears in on forms. Each field's menu has Edit and Delete.

Choosing the right type

If the value is...Use
A short code or nameText
A paragraphLong text
A countNumber
DollarsMoney (so it formats and totals correctly)
A dateDate
One of a fixed setSelect (keeps spelling consistent, so filters and exports work)
Yes or noCheckbox

Common mistakes

  • Adding fields after the import. Create them first, so the spreadsheet's extra columns map straight onto them in Map columns.
  • Making fields required that reps cannot know on the first call. Required fields block saving, so reps type junk to get past them.
  • Changing a field's type later. The app warns that changing the type does not convert values already saved.
  • Deleting a field to tidy up. The field disappears from forms; values already saved stay in the data but are no longer shown.
  • Using a text field for something you will filter on. Use Select.

Custom fields are part of the Core plan and up, and owners and managers manage them.
