What you can and cannot change
The deal stages themselves are the same for every organization, from App In - Collecting Docs to Funded - In Repayment and the closed and nurture stages. You cannot add, rename or reorder them. That is deliberate: reports, lender scorecards and renewal timing all depend on stages meaning the same thing on every deal.
What you do control, under Settings → Pipeline, is two things: the stage at which a deal's pricing locks, and the conditions that are added to every new deal automatically. Only owners can change them; everyone else sees the page read-only.
Pricing lock
When a deal reaches the stage you choose in Lock pricing at, its pricing block locks, so the amount, factor and payment the merchant agreed to cannot be edited by accident. The default is Offer Accepted - Preparing Contracts. Managers and owners can unlock a deal's pricing when a lender reprices; each lock and unlock is recorded.
Set it earlier (for example Merchant Reviewing Offer) if reps tend to tweak numbers after presenting; set it later only if your lenders routinely change terms during contracts.
Automatic conditions
Automatic conditions are the checklist every new deal starts with, whether it was created directly, converted from a lead or started as a renewal. Document conditions are satisfied when a document of that type is uploaded.
- 1Open Settings → Pipeline.
- 2Under Automatic conditions, click Add.
- 3Pick a Condition type, for example Application, Bank statements, Month-to-date transactions, Driver's license or Voided check.
- 4Optionally type a label to make it specific ("Last 4 months of bank statements").
- 5Repeat for each standard item, remove any you do not want with the bin icon, and click Save.

0 of 5The stage checks to know about
Moving a deal forward into, or past, four stages checks the file first. These checks are built in and are not settings, but your automatic conditions feed the first one.
| Moving to... | Requires |
|---|---|
| Ready for Submission | Every required checklist item received or verified. |
| Funder Reviewing File | A signed application, a requested amount, the merchant not marked do-not-contact, and no revoked contact consent. |
| Merchant Reviewing Contracts | A state disclosure on file when the merchant is in a state with a commercial financing disclosure law. |
| Funded - In Repayment | A signed contract and a completed funding verification. |
If a check fails, the app shows Not ready for the stage with the list of what is missing. Owners and managers can click Move anyway; the override is recorded. Moving backward, or to a lost or nurture stage, is never checked. For the disclosure laws themselves, see the disclosure laws guide.
Tips
- Keep the automatic list short. Lender-specific stips belong on the deal when that lender asks, not on every file.
- Watch how often managers use Move anyway. If it is daily, the team is skipping a step, not the other way round.
