Email templates and senders

Set up a default submission template, your signature and a verified team sender before the first submission goes out.

A short walkthrough video is coming. The written steps below cover everything in the meantime.

Why it matters

A submission email is the first thing an underwriter reads about your deal. A good template puts the merchant's name, the ask and the attachments in the same place every time, so the lender can say yes faster and your reps stop retyping the same paragraph.

Create a template

  1. 1Open Settings → Email templates and click New template.
  2. 2Give it a Name and pick a Category: Submission, Stips, Marketing, Notification or Auto-responder.
  3. 3Under Shared with, choose Only me or Whole team. Only owners and managers can share with the whole team.
  4. 4Write the Subject and Message. Use Insert tag to drop in merge tags that fill from the deal, lead or merchant, from you (the sender) and from the lender: the merchant's DBA, the requested amount, your name and so on.
  5. 5Click Preview to see it filled in with a real record.
  6. 6Optionally open Plain-text version. Left empty, it is generated from the formatted message.
  7. 7Switch on Default for this category to have it pre-selected, then click Add template.
  8. 8To attach files that go out with every email from this template (a rate sheet, your ISO agreement), add the template first, then click Attach files: up to 10 files, 10 MB each.

The page has a tab per category, and splits each into Mine and Team. Each template's menu has Edit, Make default and Delete. For submission templates, a lender's own subject format (set on the lender's page) wins over the template's subject, because some lenders route email by subject line.

Moving templates from another system

Paste your old templates in as they are. Merge fields written in another system's single-brace style are converted when you save, and the app warns you about any it has no equivalent for.

Your signature

Below the templates, Your signature sets the signature merge tag for you. Without one, the app uses your name, the company, your email and phone. Each person sets their own.

Team senders

By default everyone sends as themselves. Settings → Senders adds shared From addresses, such as submissions@ your company domain, for submissions, emails and campaigns.

  1. 1Open Settings → Senders and click Add sender.
  2. 2Fill in Name (what recipients see, for example "Acme Funding Submissions"), Email, and optionally Reply-to.
  3. 3Click Add sender, then open the sender's menu and choose Send verification link.
  4. 4Open the link from that inbox. The sender's status changes from Unverified to Verified.

Until a sender is verified, its mail goes out from the app's own address under the sender's name, with replies going to the sender. Once verified, mail goes out from the address itself. Changing a sender's email address clears its verification. Default sender pre-selects it for campaigns. Owners and managers manage senders.

Coming soon

Sending from your own Gmail or Outlook mailbox, with lender replies pulled back into the deal, is Coming soon. So are email campaigns, which will use your marketing templates, senders and lists.
