Plan the order
An import goes smoothly when the things it points at already exist. Set up in this order:
- Users, so records can be assigned to reps (Users and invites).
- Lead sources, so each file can be tagged (Lead sources).
- Custom fields, so extra columns have somewhere to go (Custom fields).
- Lenders, from Lenders → Import CSV, which previews every row before anything is saved.
- Leads, and merchants with their owners, from Import.
The importer takes two kinds of file: leads, or merchants with their owners. Lenders have their own importer. If you need open deals, funded history or notes moved from an old system, contact us about migration.
Upload and map columns
- 1Export from your old system or spreadsheet: one row per record, column names in the first row.
- 2Open Import in the sidebar and drop the file into Upload a file. CSV (UTF-8 or Excel export) or XLSX, first sheet only, up to 20 MB and 50,000 rows.
- 3On Map columns, each of your columns is matched to a field automatically. Check every one. Set a column to Don't import to skip it, or Keep as extra data to keep the value on the record without a field of its own.
- 4If you saved a preset last time, pick it from the dropdown at the top right (it starts on No preset (auto-match)) and the columns map themselves.
- 5Read the Preview: the first rows as they will be imported.
Choose the options
| Option | What to pick |
|---|---|
| Import as | Leads, or Merchants + owners for customers you have already funded or are working as deals. |
| Lead source | The source this file came from. One file, one source. |
| Status for new leads | Usually New. Use Cold Lead or Future for an old aged list. |
| Assign to | Nobody (unassigned), One rep, or Round robin between reps to deal records out in turn. Agents importing their own file get the records assigned to themselves. |
| When a row matches an existing record | Skip it (safest), Update the existing record (fills in the file's values; blank cells never erase anything), or Import it anyway (matches are flagged as possible duplicates). |
| Match on | Phone, Email and EIN. Untick one if your file has shared numbers, such as a vendor's call center number. |
| Save this mapping as a preset | Name it after the source, for example "Vendor A daily list". Next time, a file with the same columns maps itself. |
Click the Import button (it shows the row count). Large files import in the background; you can leave the page and come back.
Results, error rows and history
When it finishes, you see New leads (or merchants), Updated, Duplicates skipped, Errors and Blank rows. Rows that could not be imported are listed with the problem; Error rows (CSV) downloads them all so you can fix the values and import that file again.
Import → History lists every file imported, its status, the counts and who ran it. Open one for its details, including the preset and source used.

Questions
What happens if my spreadsheet has leads that are already in the CRM?
You choose per import. Skip it leaves matching rows out, Update the existing record fills in the file's values without erasing anything with blank cells, and Import it anyway brings every row in and flags matches as possible duplicates. Matching uses phone, email and EIN, and you can untick any of the three.
Can I import from another CRM's export?
Yes. Export to CSV or Excel with a header row and import it. Columns are matched automatically and you can fix any match by hand, then save the mapping as a preset so the next file from that system maps itself.
