Why it matters
A decline is information. If one lender declines your restaurants for "Industry" eight times in a row, stop sending it restaurants. That only shows up if every decline gets a reason picked from a short, consistent list rather than typed free-form.
The two lists
| List | Picked when | Feeds |
|---|---|---|
| Lender decline reasons | A submission is marked declined. | Each lender's scorecard. |
| Merchant decline reasons | A merchant declines an offer, or a deal is moved to a lost stage. | Why you lose deals you could have funded. |
Both lists come with built-in reasons. Each row shows how often it has been used, and whether it is custom or hidden.
Step by step
- 1Open Settings → Decline reasons.
- 2To add a reason, type it in the box at the bottom of the right list (for example "Seasonal business" or "Wanted a longer term") and click Add.
- 3To rename one, click the pencil. Past declines keep pointing at the reason, so reports pick up the new name.
- 4To stop offering a reason, switch it off. It is hidden from pickers but keeps its history.
- 5Use the up and down arrows to put the most common reasons first; that is the order reps see.
- 6A custom reason that has never been used can be deleted with the bin icon. Built-in and used reasons can only be hidden.
Tips
- Aim for ten to fifteen reasons per list. More than that and reps pick the first one that is close enough.
- Avoid "Other" as a habit. If one comes up often, add it as its own reason.
- Owners and managers (anyone who can manage lenders) edit these lists; everyone picks from them.
