Why it matters
Each lender expects a clean email with the right attachments, a clear subject line and no surprises. Recording every submission in the CRM means you can see which lenders have the file, how long they have been silent, and why the ones who declined said no.
Step by step
- 1On the deal's Lenders tab, tick the lenders and click Submit.
- 2Documents. Tick the files to attach. Only received or verified documents are offered. The size is shown; many lenders reject emails over 25 MB. When every lender you picked takes deals on its portal or by API, attachments are optional. Click Next: lenders.
- 3Lenders & recipients. Each lender shows its readiness: Ready, or what is missing. Check each email lender's To address and CC (filled from the lender's submission contacts); portal lenders show their portal link instead. A lender you sent this deal to before shows Resubmit, which links the new submission to the earlier one. For an ineligible lender, tick Submit anyway and give a reason. Click Next: email.
- 4Email & submit. Choose From (you, or a team sender), a Template, the Subject and the Message. Merge tags fill the merchant and deal details per lender. You are always BCC'd on app email.
- 5Under Preview per lender, send each one: Send via app sends it from the CRM, Open in email opens it in your mail program, Copy copies it. If you sent it outside the app, click Mark sent. Or use Send all via app or Mark all sent.
- 6Portal lenders. Instead of an email, the card shows the portal assist kit: the lender's portal link, every field in the order the portal asks with a copy button (Reveal & copy for the EIN, SSN or date of birth, which is logged), and download links for the documents. Fill in the portal, enter the Lender application ID if you have one and click Mark submitted.
- 7API lenders. Submit via API sends the application through the lender's API connector. API connectors come with the API access add-on and refuse a file with missing required data.
- 8Click Done. The deal moves to Funder Reviewing File once a submission is marked sent. Each submission keeps a frozen version of the application it sent: the Versions card on the Application tab shows which lenders got which version.
Your own mailbox
Sending submissions from your own Gmail or Outlook, with lender replies landing on the deal automatically, is Coming soon. Today you update statuses by hand when a lender replies.
Step by step: record a lender's response
- 1On the Lenders tab, find the lender under Submissions and open Status.
- 2Pick the new status: In-Progress, Prequalified, Approved, Cond Approved, Declined, Does Not Qualify, Rejected / Correct and Resubmit and so on.
- 3For a decline, pick every Lender decline reasons the lender gave (and Merchant decline reasons if the merchant walked). For stips, list them under Stips requested, one per line.
- 4Open the history icon on the row to see the submission's timeline and add a note (an ETA, a call with the lender's rep).
- 5When the lender sends terms, click Add offer on that row (see Comparing offers).
The Submissions page in the sidebar lists every submission across deals. Filter Sent by No response 48h+ to find lenders to chase, or switch to Submitted by me.
Common mistakes
- Sending from your mail program and forgetting Mark sent. The deal does not move and the 48-hour chase list misses it.
- Leaving declines without reasons. They feed the lender scorecards and the lost-deal reports.
- Shotgunning every lender. Three to five well-chosen lenders beat fifteen: see Submission etiquette.
